How Our Mobile App is Changing the Way Nurseries Work Day-to-Day

5 min read by Early Tree Team

There's a fundamental problem with nursery software that's designed primarily for desktops: the care doesn't happen at a desk. It happens on the floor, in the garden, at the snack table, and during nappy changes. Any tool that requires a practitioner to leave the moment to record the moment has already failed them.

That's why the Early Tree mobile app — available on iOS and Android — isn't an afterthought bolted onto a web system. It's built to be the primary way most practitioners interact with the platform, with the web portal handling the management and reporting side.

What the app is actually used for

Attendance and check-in

The morning rush is the most stressful part of the day in most settings. The app makes check-in as fast as possible: a single tap per child, visible in real time for every staff member on the premises. No paper register. No running to a computer. No trying to remember who arrived when at the end of the day.

For settings with a front-door check-in point, the app works on a wall-mounted tablet. For settings where children are collected from the car park, it works in a practitioner's pocket. Both modes give you the same reliable record.

Observations on the go

When a child does something worth recording — the first time they manage the climbing frame, a breakthrough in language, a moment of empathy with a friend — you have seconds to capture it before the moment is gone. The app lets you:

  • Add a quick photo or short video from the device camera
  • Dictate or type a note
  • Tag the child or children involved
  • The system suggests EYFS areas based on the content (you confirm or change these)

The result: an observation written while the memory is fresh, linked to the right children and development areas, without leaving the room.

Daily updates to parents

Parents connected through the Early Tree parent app at my.earlytree.co.uk receive daily updates — what their child ate, whether they napped, how they seemed, and any observations or photos shared by the key person. Staff can send these directly from the app at the end of a session without sitting down at a computer.

This is one of the most appreciated features for parents, and one of the biggest time-savers for room leaders who previously compiled written diaries or end-of-day messages manually.

Medication records and incident logs

These have to be recorded accurately, immediately, and signed off correctly. The app guides practitioners through the correct fields, timestamps the record, and flags when a second signature is needed. The record is instantly available to the manager on the web portal.

Room and ratio visibility

Staff can see real-time room occupancy and ratios on the app. If a room is approaching the limit, or if someone is called away unexpectedly, the whole team can see it at a glance — not via a shout across the room, but via a clear, live view.

What managers get from the web portal

While practitioners use the app, managers tend to use the web portal at app.earlytree.co.uk for:

  • Reviewing and approving observations before they're shared with parents
  • Running reports on attendance, occupancy, and EYFS progress
  • Managing child profiles, staff records, and room configurations
  • Preparing and reviewing funding claims
  • Reviewing incident logs and safeguarding records

The web portal gives you the larger screen and the management tools. The mobile app gives your practitioners the immediacy they need.

Why "mobile-first" matters in practice

We hear from settings that switched from desktop-only systems that the change is significant. Observations increase in frequency because the friction has been removed. Staff feel more confident recording incidents because the process is quick and guided. Managers get more complete data because it's being entered in real time rather than reconstructed at the end of a shift.

There's also a staff wellbeing dimension. When admin follows practitioners home — notes written in the evening, logs updated on personal phones, observation diaries maintained on personal time — it contributes to burnout. A tool that makes it possible to complete records during the working day, in the moment, gives time back.

Privacy and security on mobile

Child data is among the most sensitive data a business can hold. Our mobile app is built with this in mind:

  • All data is encrypted in transit and at rest
  • Biometric login (Face ID, fingerprint) is supported for quick, secure access
  • The app requires the same role-based permissions as the web portal — a key person sees their key children; a room leader sees their room
  • Photos taken within the app are stored securely on our servers, not in the device's photo library
  • Remote wipe is available if a device is lost or a staff member leaves

Getting started

If you're already using the Early Tree Nursery Management System, downloading the app and logging in is all it takes — your data, children, and rooms are already there. For settings that haven't joined yet, we're currently looking for 50+ new settings to come on board as we expand beyond beta.
